Getting an appointment when you need it

We’ve all been there, those frustrating phone calls when you desperately need a doctor’s appointment but are greeted with “The doctor is scheduling 2 months out”. Over the years I have learned several tips for getting an appointment when you need it. Here are my top tips.


1. Simply state that you need it sooner and the reason why.

This may seem too simple, but often this will work. Most people don’t even question timing when they are told an appointment time.


2. If you are talking to a call center ask to be transferred to the doctor’s actual office.

Often the call center only has a certain amount of appointments that they can offer and the actual office has more.


3. Ask if they can ask the doctor or the doctor’s nurse if there is any possibility of being seen sooner.

The doctor and nurse might be able to squeeze you in if it is truly an urgent matter.


4. Use the patient portal to message the office!

Often the patient portal is the best way to get in touch with your doctor or his/her office directly.


5. Remain firm but kind

Its easy to get frustrated and loose your cool, but it is so important to remember to treat those you talk to kindly. The majority of the time the office staff has no control over getting you seen sooner, if there is no appointment open there is no appointment, so getting mad at them is not going to help anything. People are much more likely to help you if you are kind and treat them with respect. However, being kind does not mean you don’t advocate for needs. 6. If you can wait, wait!

If you don’t actually need an appointment sooner, don’t fight for one. Save trying to get a sooner appointment for the times you actually need them. If you aren’t sure if you can wait, ask to speak with the doctor’s nurse and get their opinion.
